Job Overview: The Procurement Specialist is an integral part of the technology service team, being responsible for the procurement of technology goods and services used across the corporate offices and teams.  The position provides analysis, review of vendor contracts/agreements to accomplishment corporate objectives and to ensure compliance with applicable policies to achieve variable cost productivity, working capital and business financial goals.  This role requires rigorous attention to detail, being comfortable solving problems with limited oversight, and excellent communication skills.  The position works closely with all levels of procurement and the business unit stakeholders.  The Procurement Specialist reports to the Director of IT Services.

 

 

Duties and Responsibilities:

 

  • Responsible for ensuring highest level of integrity and confidentiality of the procurement process and proper adherence to procurement policies and procedures
  • Will oversee the procurement process; evaluate costs effectiveness and provide support in negotiating contracts and sub-agreements
  • Evaluate the quality and appropriateness of proposed services, supplies and equipment; conduct cost and quality comparisons and analysis
  • Will supervise evaluation process, selection recommendations and recommend the best value proposals
  • Coordinate approval and payment of invoices with the accounting department and executive management;
  • Prepare technology budget; and responses to monthly and yearly budget variances
  • Ensure that proper segregation of purchasing responsibilities is in place
  • Provide support and assistance when needed in procurement of services, supplies, equipment for projects, and provision information
  • Manage vendor procurement database and third-party contracts and signed MSA's
  • Ensure receipt of goods and asset assignment
  • Supervise vendors, subservice provider and subcontractor contract terms and expense
  • Assists in the proper asset tracking of inventory, as well as disposal of inventory. Including capital assets for fix asset management

 

 

Minimum Qualifications:

 

Legal contracting experience, or equivalent work experience.

 

Experience conducting analyses and developing and implementing recommendations/action plans based on those analyses.

Effective communication/presentation skills.

 

Strong understanding of key legal terms relevant to corporate contracts.

 

Experience creating a negotiating plan and leading negotiation efforts on purchase agreements and/or vendor contracts.

 

The incumbent should have sound judgement, good communication and organizational skills, and sufficient diplomacy and tact to deal effectively with all customers and professional relationships.

 

Experience working in a matrixed organization and have built constructive and effective relationships. 

 

 

Preferred Qualifications:

 

Bachelor's Degree or equivalent combination of education and work experience in a competency area such as: Contracts, business administration, management, accounting, economics.

 

At least five years procurement experience is preferred.

 

The selected candidate will be subject to a background and credit check and drug screen upon offer of employment.
