Payroll/HCM Coordinator

As the Payroll/Human Capital Management (HCM) Coordinator you will ensure accurate processing and recording of the company's payroll and perform data entry and maintenance for isolved's internal human resources team. This includes employee information and must meet a range of standards, including federal and state requirements. At all times, strict standards for data integrity must be upheld. Your responsibilities will include processing timesheets, updating payroll records, processing bi-weekly payroll, and answering employee questions about payments. You will also work directly with senior-level staff on projects across a wide range of purposes (such as systems upgrades or disability programs), and will function as a link between various departments within the company, ranging from finance to HR Business Partners to management. Both data collection and consultation with these departments is essential, including communicating advice regarding policies and guidelines. You will support and maintain the HCM People Cloud systems and databases including responsibility for upgrades, testing, and support on other projects as needed.

Core Job Duties:

Payroll Duties (50%)

  • Ensure all time sheets are reviewed and verified in timely manner, and provide support with processing timecard adjustments
  • Maintain and update payroll records and manage workflow to ensure all payroll transactions are processed accurately and timely
  • Prepare and process garnishments, as needed
  • Check payroll information for accuracy and ensure all relevant paperwork and documentation is in order
  • Coordinate with HR Business Partners and HR Associates regarding changes in payroll (i.e. new hires, terminations)
  • Prepare and process bi-weekly payroll, ensuring compliance with state and federal regulations, performing necessary reconciliations prior to transmission to ensure accuracy
  • Coordinate with HR and/or Finance to perform applicable audits prior to processing payroll
  • Prepare periodic and ad-hoc payroll reports, as needed
  • Answer employee questions and concerns regarding payroll, escalating to appropriate HR team members as needed
  • Process accurate and timely year-end reporting when necessary

HCM Duties (50%):

  • Coordinates and monitors information using our proprietary HCM system (isolved People Cloud)
  • Maintains discretion in matters of confidentiality
  • Provides HCM training and reporting support to other HR professionals
  • Conducts regular audits of human resources data to preserve its integrity and accuracy, and recommends new audits as appropriate
  • Performs daily data entry, data compilation, and data processing activities
  • Monitors and maintains completeness of various data feeds
  • Maintains documentation and tools to support the HR operations team and assists in creating process documentation and user guides
  • Provides support with system security administration, as needed
  • Works independently on finding and resolving issues for all required data fields using isolved People Cloud, Excel, and other HR related systems and documentation
  • Interacts with employees, managers, and other stakeholders to identify and correct missing or invalid data
  • Sets up tasks and comment log codes to track data corrections and follow-up issues
  • Recommends and implements changes that will either improve quality or improve efficiencies
  • Escalates issues to appropriate team members in a timely fashion
  • Assists in testing and implementing upgrades and new systems
  • Ad hoc special projects, both within and outside the department, as assigned

Minimum Qualifications:

  • Bachelor's degree in computer science, statistical analysis, Human Resources, or related field or equivalent experience.
  • Proficient in Microsoft Office suit, particularly Excel, Word, and PowerPoint
  • Extreme attention to detail
  • Exceptional organization and time management skills, with a sense of urgency
  • Ability to flex and adapt to changing business needs
  • Discretion when dealing with confidential information
  • Initiative and the desire to own problems from start to finish
  • Excellent interpersonal and communication skills with ability to work on several projects simultaneously
  • Ability to work independently and/or as part of a team in a fast paced, changing environment
  • Overtime is a condition of employment

Desired Ideal Qualifications:

  • 1 to 3 years of payroll, HRIS, general HR experience
  • Working knowledge of payroll best practices and federal and state payroll-related regulations
  • Experience with HCMS, such as isolved, ADP, Workday, Ceridian
  • CPP or FPC preferred, but not required
