Payroll Tax Specialist III

Summary:  The Payroll Tax Specialist III will ensure client's needs are met and the payroll taxes are prepared and sent timely and accurately.

 

Essential Duties:  Essential job duties for this position include the following items. Other duties must be performed as assigned or required.

 

  • Mentor other Payroll Tax Specialists
  • Handle difficult items such as complex notices, amendments, and complex client issues
  • Conduct on monthly basis, creation and administration of MTS files for corresponding clients, calculation and submission of labor statistics, and send complex reports to corresponding clients
  • Conduct on a quarterly basis, Nevada modified business tax, balancing of clients, preparation and administration of Magnetic Media and e-files, process quarterlies, handling of Washington workers compensation, creation and sending of LIMRICC's, and other items as assigned.
  • Conduct on an annual basis, balancing of clients
  • Handle SUTA adjustment emails, rate and EIN imports, rate exchanges, blue sheet restores and Chicago head tax payments.
  • Create and send payroll tax documents such as amendments, 1099's and others as necessary
  • Enter and balance 3rd party sick pay
  • Balance back to lines on W-3, W-2's, Form 941, etc. from payroll reports, as requested
  • Maintain a strong knowledge of funding methods and banking
  • Field all payroll tax questions unassisted
  • Run data extract reports in Mastertax
  • Enter prior payroll information for new clients with issues
  • Check for Mastertax updates
  • Download updates and send work request to IT to process them
  • Maintain total confidentiality with client payroll tax information
  • Work toward continuous quality improvement
  • Stay current with changing technology, including software programs
  • Uphold, support and promote all company policies and procedures

 

Qualifications:  To perform this job successfully, the Payroll Tax Specialist III must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the minimum knowledge, skills and ability required. 

 

Education/Experience:

  • High school diploma or equivalent required, Associate degree (A.A.) or equivalent from two-year college or technical school preferred
  • Minimum two years' experience as a Payroll Tax Specialist II, or related, required
  • Working knowledge of MS Word, Excel and Calculator required.
  • Payroll Tax software skills (i.e. Pay Breeze, iSolved, Adobe, etc.) highly desirable
  • Customer service experience required

 

Certificates, Licenses, Registrations:  None

 

Language Skills:

  • Ability to read, and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
    • Ability to speak effectively before groups of customers or employees of the organization.
  •  

    Mathematical Skills:

    • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
    • Ability to apply concepts of basic algebra and geometry.

     

    Reasoning Ability:

    • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
    • Ability to deal with problems involving several concrete variables in standardized situations.

     

     

    Work Environment:  The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of the job.

     

    • Environmental There is little or no exposure to hazardous environmental conditions.
    • Noise Moderate (i.e. computers, printers, fax machines, etc.)
