Payroll Tax Associate

Summary:   The payroll tax assistant will assist the payroll tax department to ensure client needs are met and the payroll taxes are prepared and paid timely and accurately.

 

Essential Duties:  Essential job duties for this position include the following items. Other duties must be performed as assigned or required.

 

  • Handle most of the emails received by the department. Divvy out the remaining emails that require research or client contact.
  • Monitor the Missing EIN spreadsheet and bill accordingly
  • Handle all POA's. Keep track of missing POA's and dates when new POA's are needed
  • Handle all incoming mail and disburse as needed
  • Handle all scanning for payroll tax department
  • Monitor DropTask software to ensure all tasks are completed daily
  • Assign out SalesForce activities
  • Assist other payroll tax staff when needed
  • Maintain total confidentiality with client payroll tax information
  • Assist the supervisor to ensure department is running efficiently
  • Handle projects as assigned by supervisor
  • Work with other payroll departments if needed
  • Work toward continuous quality improvement
  • Stay current with changing technology, including software programs
  • Uphold, support and promote all company policies and procedures

 

Qualifications: To perform this job successfully, the payroll tax assistant must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the minimum knowledge, skills and ability required.

 

Education/Experience:

  • High school diploma or equivalent required, Associate degree (A.A.) or equivalent from two-year college or technical school preferred
  • Six months related experience preferred
  • Working knowledge of MS Word, Excel and Calculator required.
  • Payroll Tax software skills (i.e. Pay Breeze, iSolved, Adobe, etc.) highly desirable
  • Customer service experience required

 

Certificates, Licenses, Registrations:  None

 

 

 

Language Skills:

  • Ability to read, and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.

 

Mathematical Skills:

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.

 

Reasoning Ability:

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
    • Ability to deal with problems involving several concrete variables in standardized situations.

    • Talking or hearing Approximately between 1/3 and 2/3 of on-the-job time.

    Physical demand requirements listed are primarily applied to ability to lift and move paper supply, client files, etc.

    • Vision Close vision (clear vision at 20 inches or less).
    • Travel/Driving May be required occasionally to attend client meetings, offsite training/seminars and other work-related events.  May require use of personal vehicle.
