Payroll Support Assistant

Summary:  Provides support and assistance to payroll operations.

 

Essential Duties:  Essential job duties for this position include the following items. Other duties must be performed as assigned or required.

 

  • Handle daily wire tasks (for 2 weeks out of 4 weeks)
  • Handle other daily tasks (for 2 weeks out of 4 weeks)
  • Handle weekly, monthly, quarterly, and annual tasks
  • Take care of weekly and monthly billing items
  • Reconciling and audit billing (ex: W2, 1095 year end billings) (II & III)
  • Double check daily payroll tax transactions
  • Maintain total confidentiality with client information
  • Run weekly and monthly reports
  • Back up for Payroll Admin
  • Back up for other Payroll Support Assistants(s)
  • Set up for meetings/trainings
  • Assist clients with questions
  • Assist clients with complex questions (II & III) with little or no assistance
  • Handle difficult items such as complex client issues, researching in depth items, and funding issues. (II & III) with little or no assistance
  • May assist the banking department as needed:
    • Review, transfer and verify direct deposit files
    • Process and transmit third party reports and files
    • Prepare and remit federal, state and local tax reports
  • Miscellaneous tasks and projects as assigned
  • Conduct miscellaneous research
  • Work toward continuous quality improvement
  • Stay current with changing technology, including software programs
  • Uphold, support, and promote all company policies and procedures

 

Qualifications: To perform this job successfully, the individual in this position must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the minimum knowledge, skills and ability required. 

 

Education/Experience:

  • Associate's degree (A.A.) or equivalent from two-year College or technical school; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • MS Office experience required.

 

Certificates, Licenses, Registrations:  None

 

Language Skills:

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence
  • Ability to speak effectively before groups of customers or employees of organization.

 

Mathematical Skills:

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Reasoning Ability:

    • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
    • Ability to deal with problems involving several concrete variables in standardized situations.

    • Standing Approximately less than 1/3 of on-the-job time.
    • Walking Approximately less than 1/3 of on-the-job time.

    • Use of hands to finger, handle or feel Approximately greater than 2/3 of on-the-job time.
    • Reaching with hands and arms Approximately greater than 2/3 of on-the-job time.
    • Stooping, kneeling, crouching or crawling Approximately less than 1/3 of on-the-job time.
    • Talking or hearing Approximately between 1/3 and 2/3 of on-the-job time.
    • Weight lifted/Force exerted An average of approximately up to 10 pounds, non-continuously.
    • Vision Close vision (clear vision at 20 inches or less), Ability to adjust focus (ability to adjust the eye to bring an object into sharp focus).
    • Travel/Driving May be required occasionally to attend client meetings, offsite training/seminars and other work related events. May require use of personal vehicle.
