Job Description

The isolved Payroll Manager is responsible for managing the entire multi-state payroll process for a company of 1500+ employees, working closely with HR and other business partners on payroll-related matters. This role will be responsible for researching and resolving all payroll issues, providing support to the accounting department on the month-end close process, coordinating with the benefits team, and assisting with requests from internal and external auditors. This role may also be responsible for managing a part-time Payroll Assistant. As a payroll subject matter expert, the Payroll Manager handles complex payroll issues independently, provides reporting and analysis, and recommends and implements payroll process improvements.


Core Job Duties

  • Prepare and process bi-weekly payroll, ensuring compliance with state and federal regulations, and performing necessary reconciliations, audits, and reviews prior to transmission to ensure accuracy.
  • Ensure all time sheets are reviewed and verified in timely manner and provide support with processing timecard adjustments.
  • Maintain and update payroll records and manage workflow to ensure all payroll transactions are processed accurately and timely.
  • Act as a subject matter expert for payroll related questions, policies, and regulations; answer employee questions and concerns regarding payroll, escalating to appropriate HR team members as needed.
  • Make independent decisions and judgements on various issues related to payroll and the application of rules and regulations.
  • Prepare and process garnishments, as needed.
  • Check payroll information for accuracy and ensure all relevant paperwork and documentation is in order.
  • Coordinate with benefits team on payroll-related matters, as needed, and assist with recordkeeping for benefits plan such as insurance and 401(k).
  • Provide support with 401(k) reporting, administration, and annual compliance audits.
  • Coordinate with HR Business Partners and HR Associates regarding changes in payroll (i.e. new hires, terminations, etc.)
  • Coordinate with HR and/or Finance to perform applicable audits prior to processing payroll.
  • Prepare periodic and ad-hoc payroll reports, as needed.
  • Provide support to the Accounting department on reporting and the month-end close process, as needed.
  • Partner with internal tax department to research and address payroll tax related matters.
  • Create and maintain SOP documentation regarding the weekly, monthly, quarterly, and yearly payroll processes.
  • Facilitate audits by providing records and documentation to auditors.
  • Process accurate and timely year-end reporting.

Minimum Qualifications

  • 5+ years of multi-state payroll experience
  • Bachelor's degree in Business Administration, Accounting, Human Resources, or related field or equivalent experience
  • CPP certification preferred, but not required
  • Working knowledge of current payroll best practices and federal and state payroll-related regulations
  • Extensive knowledge and experience of the payroll function including preparation, balancing, internal control, and payroll taxes
  • Proficient in Microsoft Office suite, particularly Excel, Word, and PowerPoint
  • Extreme attention to detail
  • Exceptional organization and time management skills, with a sense of urgency
  • Ability to flex and adapt to changing business needs
  • Discretion when dealing with confidential information
  • Initiative and the desire to own problems from start to finish
  • Excellent interpersonal and communication skills with ability to work on several projects simultaneously
  • Ability to work independently and/or as part of a team in a fast paced, changing environment
  • Overtime is a condition of employment
  • 3+ years HRIS and/or general HR experience
  • Experience with HCMS, such as isolved, ADP, Workday, Ceridian
