Job Description
The isolved HR & Payroll Coordinator contributes to a high performing and positive work environment by providing outstanding customer service. Works within a team and serves as the first point of contact for employees and public with any HR/Payroll related questions and issues. Responsible for all aspects of weekly (non-exempt) payroll processing.
Core Job Duties
- Handles a high volume of telephone and email communications including primary responsibility for the main HR phone line.
- Provides superior customer service to our client (employees and management) in-person, over the phone and through electronic communications.
- Receives and disseminates incoming correspondence (written or email) to the HR/payroll team.
- Responds to requests for verification of employment.
- Researches, responds to and refers more complex human resource and/or payroll issues to the appropriate team member.
- Protects and maintains the security and confidentiality of all HR and payroll related information. Upholds the highest standard of confidentiality at all times.
- Responsible for entering new hires into the Human Capital Management platform (isolved employee self-service portal), uploading employee documents, completing all required fields of information, and following up on any outstanding items.
- Processes employment eligibility verification using the eVerify system. Maintains paper I-9 records.
- Assist with employee onboarding and new hire orientations. Prepares orientation packets, provides personal support to employees who need assistance in accessing the employee portal, completing policy acknowledgments and onboarding.
- Maintains client's security access platform (WinPak), issues employee gate/ID cards, deactivates security access for terminated employees and vendors.
- Processes pay and position changes and terminations.
- Reviews non-exempt employee timesheets, generates missing hours reports, follows up with employee supervisors, enters adjustments on timesheets. Answers supervisors questions and assists in reopening timesheets and other timekeeping platform (SageTime) support.
- Enter additional compensation items in earnings to include cell phone reimbursements and auto reimbursements based on allowed amounts for the employee's position. Calculates pro-rated amounts for partial pay cycles.
- Processes special pays such as short-term disability and modified duty wages.
- Sets up and processes out of cycle payrolls.
- Processes Operation's department employee incentives on weekly payrolls.
- Processes wage garnishments, payroll deductions and reimbursements.
- Reviews and approves tax withholding changes.
- Escalates more complex payroll issues to Payroll Administrator for further handling or instruction.
- Generates certification reports and regularly audits employee records to ensure that employees have updated credentials (driver's license, DOT medical card, auto insurance coverage). Follows up with employees to obtain updated credentials and escalates to the employee's supervisor if no response received.
- Submits uniform orders for new hires to client contact.
Minimum Qualifications
- Bachelor's degree preferred but not required.
- Experience in customer service, human resources, and payroll. Basic knowledge of the principals and procedures related to human resources and payroll.
- Strong computer aptitude with proficiency in Microsoft Outlook, Microsoft Word, and Microsoft Excel. Experience with Human Capital Management platforms.
- Excellent interpersonal skills. Team oriented with the ability to communicate effectively both verbally and in writing.
- Ability to solve practical problems, apply reason, apply common sense and deal with employees at all levels of the organization.
- The ability to work in a fast-paced environment with demanding deadlines.
- Excellent time management skills and organizational skills.
