Job Description

Summary/objective

The Director, Vendor Management will work closely with leadership and key stakeholders across the organization to design and deliver technology capabilities and drive projects, roadmaps, strategy, and total cost of ownership. They will also review and evaluate business cases to confirm identified financials and risks, validate value and business alignment, and recommend a course of action.


The Director will manage the platform(s) from an IT product perspective, including vendor relationships, managing upgrades, support models, and ensuring that the total cost of ownership is managed and optimized effectively as the platform(s) evolve. This includes owning and/or influencing relationships with key vendors and influencing vendor application roadmaps. Will manage our Public Cloud budget, that will require a technical understanding of infrastructure costs and identifying optimizations.


Will manage contracted Key Performance Indicators (KPIs) and seek to decrease project costs and turnaround time by proactively implementing measures to optimize our vendor network. As a trusted advisor, will ensure compliance with company policies and inform new vendors of their responsibilities.


Core Job Duties

Vendor Management Establishment and Strategy:

  • Develop and implement a comprehensive vendor management strategy aligned with organizational goals.
  • Design and enforce policies, procedures, and best practices for vendor selection, onboarding, and performance evaluation.
  • Collaborate with business units to identify IT vendor needs and requirements.
  • Conduct thorough vendor assessments to ensure compatibility with organizational requirements.
  • Negotiate favorable contracts, pricing, and service level agreements (SLAs) in collaboration with Procurement.
  • Cultivate strong relationships with key vendors to enhance collaboration and communication.
  • Monitor vendor performance against SLAs and implement improvement plans as needed.
  • Address and resolve issues with vendors in a timely and effective manner.
  • Serve as the primary point of contact for all vendor-related inquiries and issues.

Risk Management and Compliance:

  • Assess and mitigate risks associated with vendor relationships.
  • Monitor vendor performance and adherence to contract terms, addressing any issues or concerns as needed.
  • Ensure vendors comply with contractual obligations and relevant regulatory requirements.
  • Monitor changes in the vendor landscape and proactively address potential risks.

Financial Management:

  • Collaborate with finance teams to track and manage vendor-related expenses.
  • Identify opportunities for cost savings and process improvements through vendor consolidation and optimization.
  • Manage vendor contracts and renewals, ensuring compliance with policies and procedures.

Reporting and Analysis:

  • Develop and maintain comprehensive reports on vendor performance and compliance.
  • Provide regular updates to leadership on the status of vendor relationships and key metrics.
  • Produce reports and visualizations on vendor spending, identify trends and/or anomalies, and present that information to executive stakeholders.
  • Compute projected vs actuals working with finance
  • Identify redundancies across vendor capabilities
  • Keep stakeholders informed of renewals/expirations.
  • License management working with IT on reclamation and non-usage

Job Complexity

Barriers to entry, such as technical committee review, exist at this level.


Interaction

Supervision

Acts independently to determine methods and procedures on new or unique assignments. May supervise the activities of others.


Experience

Typically requires a minimum of 12 years of related experience with a Bachelor's degree, 8 years and a Master's degree, or a PhD with 5 years experience, or equivalent experience.


Minimum Qualifications

  • Bachelor's degree in business administration, information technology, or a related field.
  • Minimum of 8 years of experience in IT vendor management or procurement.
  • Strong negotiation and communication skills, with the ability to build and maintain relationships.
  • Excellent organizational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Knowledge of IT procurement processes and best practices.
  • Experience managing vendor contracts and agreements.
  • Proficiency in Microsoft Office Suite and vendor management software.
  • Certification in ITIL or vendor management (optional but preferred).

Physical Demands

Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds.


Travel Required

Yes, up to 15% domestic travel may be required.
