Administrative Assistant

SUMMARY:

The Administrative Assistant provides clerical and administrative support to the HR Team.  This position is the first point of contact for employees who visit the HR Office in person, call in, or email.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  1. Protect and maintain the security and confidentiality of all HR related information. Uphold the highest standard of confidentiality at all times

 

  1. Maintain files and paperwork in a neat, orderly, and up-to-date manner. Maintain work area in a neat, clean, and orderly fashion

 

  1. Assist with onboarding and New Hire Orientation

 

  1. Responsible for I-9 process'complete form and process in E-Verify

 

  1. Issue key cards

 

  1. Use the kiosk located in the HR Office to assist employees with Employee Self-Serve

 

  1. Input and maintain data in various software programs. Ensure data is accurate Generate reports as necessary

 

  1. Ensure that employee files are maintained and filing is up to date

SUPERVISORY RESPONSIBILITIES:

 

This position does not have any supervisory responsibility.

 

 

QUALIFICATIONS:

  1. High school diploma.

 

  1. Two years general admin experience
  2.  

    1. Ability to solve practical problems, apply reason, apply common sense and deal with employees at all levels of the organization

     

    1. Proficient with Window applications'Excel, Word, PowerPoint and Outlook

     

    1. Basic knowledge of the principles and procedures of the human resources field

     

    1. Team oriented individual with the ability to communicate effectively both verbally and in writing

     

    1. The ability to work in a fast paced environment with demanding deadlines

     

    1. Excellent time management skills

     

     

    PHYSICAL DEMANDS:

    This is largely a sedentary role; however, some filing is required.  This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
