Job Description

The isolved Administrative Assistant - Facilities Operations, reporting to the Director of Facility Operations, you will support the administrative needs of our vibrant Facility Operations team.


Core Job Duties

  • Communicate with vendors via phone and email.
  • Support multiple site's general building maintenance by assisting in creation and maintenance of a site database.
  • Contact property management, landlords and vendors as needed.
  • Assist in development of facility maintenance plans, timetables for completion and recommendations for maintenance projects.
  • Support annual facility budget creation, review, tracking, and adherence.
  • Assist with invoice approval in Certify.
  • Work with procurement team and site office managers to help reduce costs for sites; supporting consolidation of vendors, through national accounts where possible.
  • Support office downturns, relocations or spin up projects. Attending on-site planning meetings as required, possible travel.
  • Project planning, to include creation and tracking of project schedules.
  • Oversee auditing of badge security system, including compliance with SOC audit requirements.
  • Support strategic planning for facilities.
  • Assist in development of a corporate wide safety program, aligning with all OSHA requirements.
  • Work with legal and finance departments to negotiate property, equipment and service contracts or leases.
  • Assist in development and ongoing adherence of procedures and policies for all facilities.
  • Create PowerPoint presentations and various Excel reports.
  • Act as liaison between sales and various departments within the company, ranging from finance to operational services.
  • Various Ad hoc special projects, both within and outside the department, as assigned.

Minimum Qualifications

  • 1+ years administrative assistant/office management experience
  • Proficient in Microsoft Office suite, particularly Excel, Word, and PowerPoint
  • Extreme attention to detail
  • Exceptional organization and time management skills
  • Ability to flex and adapt to changing business needs
  • Discretion when dealing with confidential information
  • Initiative and the desire to own problems from start to finish
  • Excellent interpersonal communication skills with ability to work on multiple projects simultaneously.
  • Ability to work independently and/or as part of a team in a fast paced, changing environment.
  • Ability to work in our Charlotte, NC office five days per week.
