Job Description

The isolved Admin Assistant/Sales coordinator, reporting to the Tax Credit Director, will support and implement a client base expansion through the service product of tax credits and support tax credit department workflow. The Sales coordinator must be familiar with the Tax Credit Program and Netsuite, and all its capabilities. Admin Assistant position will support the director with scheduling, meeting preparation and reporting.


Core Job Duties

  • Prepare and send start-up kit containing client letter, Engagement letter, Power of Attorney, Direct Debit, WOTC forms and step by step instructions for new clients.
  • Update all client fields in NetSuite when a signed engagement is received.
  • Coordinate location information for each engagement letter, keeping up-to-date and setting up any new locations as they are added, researching missing information and adding to Program, and NetSuite.
  • Review the A/R aging report each week for client accounts with past-due dates over 60 days.
  • Charge Backs work with clients and billing department to resolve any issues that come up with ACH or credit card payments.
  • Keep tax credit director up-to-date on A/R issues and meet with director to review ongoing issues.
  • Assist with updating contact information, adding to NetSuite, and Program.
  • Prepare report for sales staff that track contracts that our outstanding and are waiting to go live.
  • Various reports for sales staff and director.
  • Complete projects as assigned.
  • Work toward continuous quality
  • Stay current with changing technology, including software
  • Uphold, support, and promote all company policies

Minimum Qualifications

  • Bachelor's degree (B.A.) from four-year college or university required
  • One to two years related experience and/or training preferred; or equivalent combination of education
  • MS Office and Adobe Acrobat knowledge
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
  • Ability to write reports, business correspondence, and procedures
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
