Marketing Operations Specialist

This position is responsible for assisting in supporting the day-to-day function of the Marketing department, reporting to the Sr. Digital Marketing Manager. We are seeking an enthusiastic candidate with fresh ideas and strong, proven organizational skills.

This role is critical to the smooth operation of the Marketing team assisting in attainment of goals and the long-term growth of the company. Applicants should have proven project management and organizational skills, as well as an understanding of marketing and promotional techniques. The ideal candidate would undertake tasks to ensure the functionality and coordination of operational activities.

This role will facilitate behind-the-scenes marketing activities to ensure processes are running smoothly and campaigns reach their goals.

Principal Responsibilities

  • Identifying and creating new opportunities with the Marketing team.
  • Responsible for supporting the business units in their lead processing needs. This includes list management, lead routing and any other processes needed to ensure proper lead flow.
  • Develop, maintain, and update comprehensive project files as well as documentation like instructions, charts, logging and tracking etc.
  • Facilitating change requests and updates to ensure that all parties are informed of the impacts on schedule and budget in a timely manner.
  • Coordinating and overseeing team best practices and trainings, including updating any materials needed to enable successful implementation and use of Marketing systems.
  • Assist with delegating customer/partner requests to support as needed some data entry required.
  • Updating Marketing Resources system accounts details, contacts and contracts.
  • Foster and maintain positive working relationships with all stakeholders to support and meet defined goals.
  • Establish methods to track team systems and gather feedback. Develop and maintain historical data and information for analysis. Preparing weekly reports/reconciliation.

Essential Requirements

  • A bachelor's degree or master's degree in a related field preferred or, 0-3 years of experience in marketing or similar field
  • Knowledge of the following systems a plus: Asana, Outlook, Microsoft Office, HubSpot etc.
  • Ability to manage projects of various sizes and see them through to completion in a timely manner.
  • Excellent organizational, prioritization, and decision-making skills
  • Good communication, interpersonal skills team player
  • Excellent customer-service and problem-solving skills, resourceful
  • Ability to work independently and with a team.
  • Capacity to work under strict deadlines, maintaining confidentiality and discretion.

Location: This position will be based in the USA (office or remote) and will require minimal travel.

Duration: This is a full time position.
