The Executive Assistant supports the executive team by handling a wide variety of administrative duties that allow the team to function efficiently and smoothly.




        HOURS 8:30-3:30 

  • Maintain the outlook calendars for the executive staff members
    • Accept/decline meetings
    • Arrange meetings when needed
    • Work behind the scenes with other Admins of high level teams and board members to efficiently coordinate meeting times and schedules
  • Make necessary travel arrangements using TripIt and other tools
  • Manage catering needs
    • Coordinate and order for delivery/pickup for Book meetings, visitor meetings, impromptu requests
  • Retrieve & distribute mail
  • Maintain expense reports as requested
  • Coordinate facility needs and approve facility invoices (Canteen, Electricians, etc.)
  • Administer office and desk keys, building fobs
  • Assist CEO in materials presentation for All Hands Quarterly meetings as well as other meetings, and run technology for those meetings
  • Maintain Executive snacks (oatmeal, cereal bars, nuts)
  • Send flowers/gifts for employees when notified (sympathy, baby, etc)
  • May compose and sign correspondence for executives
  • Stays in tune with the mission of the company and team to best address needs of the executive team as they arise, often using independent judgment to make decisions when executives are away
  • Other duties and projects as requested by CEO or other Executive Team members





  • A minimum of a two year college degree and work experience in the role of an Executive Assistant to a high level executive team is highly desirable
  • The position requires a detail oriented, self-starter who has experience with all Microsoft office products specifically Word, Excel and Powerpoint proficiency is required
  • The position also requires strong organizational and communication skills- both verbal and written
  • Ability to maintain confidentiality at all times
  • Ability to Multitask
  • Able to handle a busy working environment with multiple deadlines




 Normal working conditions require normal to close concentration, visual attention and manual dexterity. Lifting requirements less than 10 pounds.  Moderate noise.
